The Employees module in c-entron enables you to efficiently manage employee data, including contact details, employment contracts, skills, and certifications. You can also create service items and assign them to employees. This manual provides detailed instructions on how to use the module.
Access to the module
You can access the Employees module via the module list on the left-hand side. Here, you can either enter the term "Employees" or scroll down to the Administration section to select Employee Management.
Create employee
In the module, you have the option of creating employees manually or importing them from Active Directory (AD). When creating employees manually, basic information such as name, password, abbreviation, date of birth, email address, and phone number is recorded. The abbreviation serves to provide clarity and should be unique to avoid confusion. When importing from AD, employee data is automatically transferred, and the abbreviation is also generated.
Maintain employee data
The module allows you to maintain comprehensive employee data. This includes:
Contact details: You can store email addresses, phone numbers, and addresses here.
Employment contracts: Information about the type of employment contract and the contract term must also be recorded.
Vacation days: You can record the number of vacation days in the system.
Skills and certifications: Employee skills and certificates can be managed. To do this, you can create main and sub-groups for skills and assign them to employees. It is possible to document the validity period of certificates so that you are reminded in good time when renewals are required.
Notes: It is possible to add additional notes for each employee.
Login and user management
To log in to c-entron, you must set up a login for each employee. You can specify the password, whereby a minimum length of six characters is recommended. Access can also be temporarily deactivated if an employee is unavailable for a certain period of time.
For personnel management, you can enter additional information such as personnel number, supervisor, salary, working hours, and support level. The supervisor plays an important role in escalating tasks if they are not completed within a specified time frame.
Departments and sales territories
Employees can be assigned to specific departments and sales territories. These assignments are important for enabling targeted notifications and task distribution. When assigning sales territories, you can specify which customers an employee is allowed to view.
Inventory management
In this module, you have the option of assigning a default warehouse to employees. This is particularly relevant for technicians who work with specific equipment. When creating delivery notes, the assigned warehouse is automatically taken into account, which simplifies resource management.
Document management
Under the Employee Documents section, you can store relevant documents such as employment contracts and certificates in PDF format. This allows for central storage and quick access to important documents.
Service items
Service items must be created and assigned for each employee who wants to record times. You can create these items via item management and assign them to employees. It is important that each employee has at least one standard item that is automatically suggested during time recording.
Deactivation and EOL management
Employees can be deactivated by specifying a departure date. In this case, the employee's history remains in the system, but they no longer have access to c-entron. In addition, items assigned to an employee can be set to "End of Life" (EOL) to remove them from active use without deleting them.
Customer transfer
When an employee leaves the company, their customer accounts can be transferred to another employee. This is done by selecting the employee to be deactivated and specifying the new account manager, ensuring a seamless handover of customer responsibility.
